Pre-Wedding (Beginning 45 Days Out)
- One (1) 60-minute client/planner Zoom meeting
- Collection of all vendor contact information and contracts
- Creation of a comprehensive wedding day timeline
- Creation of vendor contact and information sheet
- Distribution of final timeline to all vendors
- Venue walk-through (if applicable)
- Final detail review call or email with client
- Confirmation calls and emails to all vendors
- Point of contact for all vendors in the final weeks
- Creation of wedding party and family itinerary
- Preparation of day-of emergency kit checklist
Wedding Rehearsal
- Coordination and direction of wedding rehearsal
- Guidance for wedding party — positioning, order of procession, and cues
- Distribution of day-of itinerary to wedding party and family
Ceremony (Up to 2 Hours)
- Coordinate vendor arrivals and setup
- Oversee ceremony setup and décor placement
- Coordinate and cue wedding party processional
- Manage ceremony timeline and flow
- Coordinate with officiant and musicians/DJ for cues
- Manage guest seating and ushering flow
- Coordinate recessional and transition to reception
Cocktail Hour & Reception (Up to 6 Hours)
- Oversee cocktail hour setup and vendor transitions
- Coordinate grand entrance and reception program flow
- Manage reception timeline — first dance, toasts, dinner, cake cutting, and send-off
- Communicate timeline updates to DJ, catering, and all vendors
- Handle any issues or last-minute changes on the day
- Coordinate vendor breakdown at the end of the event
